These Terms of Service ("Terms") form a legally binding agreement between you ("you" or "user") and LinkRoute Logistics International B.V., with registered office at Weena 690, 3012 CN Rotterdam, Netherlands, KvK number 84263482 ("we", "us", "our"), governing your use of the NexaMails service ("Service").
By signing in or using the Service you accept these Terms. If you don't agree, don't use the Service.
You should also read our Privacy Policy, which explains how we handle personal data.
NexaMails is a web-based email assistant that connects to your existing Gmail account and provides AI-powered features including drafting replies, scheduling, search, attachment reading, voice mode, and others depending on your plan.
The Service does not replace your email provider — you continue to use Gmail. We add an AI assistant layer on top.
The Service is offered on three monthly subscription tiers:
Prices are in Euros and exclude VAT. VAT is added at checkout where required based on your billing location.
Every new signup includes a 7-day free trial with full Ultimate features, regardless of which plan you choose at checkout. You provide a valid payment method (credit / debit card) at the start of the trial; you are not charged during the trial period.
On the 8th day, your card is automatically charged for your selected plan, and the subscription auto-renews monthly thereafter.
Subscriptions renew automatically each month on the same date your billing cycle began, until cancelled. You authorise us (via Stripe) to charge your payment method for each renewal at the then-current rate of your plan.
All payments are processed by Stripe Payments Europe, Ltd. We never see or store your full card details. By using the Service, you also agree to Stripe's terms.
If a renewal payment fails, your subscription is marked "past due" and the Service is reduced to read-only mode (you can still view your inbox, but Nexa actions and sending are paused). We will attempt to recharge the card several times; if all attempts fail, the subscription is cancelled and your data is retained for 30 days before deletion (you can re-subscribe within that window to restore access).
You can cancel any time from Settings → Billing → Manage subscription. The cancellation takes effect at the end of your current billing period, and you keep access until then. After that, your account remains in a read-only state for 30 days, after which it is deleted (you can also delete it immediately yourself).
As an EU consumer you have a 14-day right of withdrawal from the moment of subscribing (EU Consumer Rights Directive 2011/83/EU). By starting the 7-day Ultimate trial and using the Service during that period, you expressly request that we begin performance immediately, and acknowledge that — under Article 16(m) of the Directive — your right of withdrawal does not apply to digital content already supplied with your prior consent.
If you cancel within 14 days of subscribing AND have not actively used the Service in that period, contact us at support@nexamails.ai for a full refund.
Outside the 14-day window described above, subscription fees are non-refundable. If you cancel mid-month you keep access until the end of that billing period; we don't pro-rate refunds.
You agree NOT to use the Service to:
We can suspend or terminate accounts that violate these rules, with or without notice.
Specifically:
The Service depends on third-party services including Google (Gmail, Calendar, OAuth), Anthropic (Claude AI), OpenAI (voice mode), Stripe (payments), Render (hosting), and Cloudflare (DNS). Their terms apply to your use of those services through ours. We aren't responsible for outages or changes in third-party services, though we'll do our best to keep things running and notify you of material changes.
The Service, its design, code, branding ("NexaMails", "Nexa", logos), and content are owned by LinkRoute Logistics International B.V. or its licensors and are protected by Dutch, EU, and international copyright and trademark law.
You retain ownership of all email content, attachments, and other material you submit to or through the Service. By using the Service, you grant us a limited, non-exclusive, royalty-free licence to process your content solely to provide the Service to you (e.g. sending it through our AI providers to generate a reply you asked for). This licence ends when you delete the content or your account.
We will never use your content to train AI models — yours, anyone else's, or general-purpose ones — as detailed in the Privacy Policy.
The Service is provided "as is" and "as available". To the maximum extent permitted by Dutch law, we make no warranties — express or implied — including fitness for a particular purpose, merchantability, or non-infringement.
We don't guarantee that the Service will be uninterrupted, error-free, secure, or that AI output will be accurate.
Nothing in these Terms excludes or limits any consumer rights you have under Dutch law that cannot lawfully be excluded.
To the maximum extent permitted by law:
Some jurisdictions don't allow these limitations — they apply only to the extent permitted by your local law.
You can terminate at any time by cancelling your subscription and/or deleting your account in Settings.
We can suspend or terminate your account if you violate these Terms, fail to pay, or use the Service in a way that creates legal, security, or operational risk for us. We will give you notice unless the breach is serious or notice would cause us harm.
Sections that by their nature should survive (intellectual property, liability, governing law, dispute resolution) will survive termination.
We may update these Terms from time to time. If we make material changes we'll notify you by email and/or via an in-app banner at least 30 days before they take effect. Your continued use of the Service after the effective date constitutes acceptance.
If you don't agree to the changes, cancel your subscription before the effective date.
These Terms are governed by the laws of the Netherlands, without regard to conflict-of-law principles. If you are a consumer resident in another EU country, mandatory consumer protections of your country also apply.
For disputes, we'll first try to resolve them by talking — email us at support@nexamails.ai. If that fails, the courts of Rotterdam, Netherlands, will have exclusive jurisdiction (consistent with our statutory seat).
EU consumers may also use the European Commission's Online Dispute Resolution platform: ec.europa.eu/consumers/odr.
